Privacy Policy

This Privacy Policy explains how Bizflow (“we”, “us”, “our”) collects, uses, and protects information when you use Bizflow POS Analytics (the “App”) and related services.

Local-first by design

Bizflow is designed to work offline. Most operational data is stored locally on your device. Optional features (such as cloud sync, billing/account linking, or payment integrations) may transmit data to servers you configure or connect to.

1) Who this policy applies to

This policy applies to end users of the App, including business owners, managers, and staff who use Bizflow to run outlet operations.

2) Information we may collect

The information collected depends on the features you use and your configuration.

  • Account and contact information: when you sign in or connect, we may process name, email address, phone number, and outlet identifiers.
  • Outlet and operational data: products, prices, stock, sales/orders, payments recorded in the App, shifts, staff activity, and accounting records you create.
  • Device and app identifiers: device ID generated by the App, app version/build, and basic device information necessary for device linking, licensing, and troubleshooting.
  • Server configuration: when you set “Server Settings”, the App stores server URLs (for example billing/sync/payment endpoints) on the device.
  • Network and diagnostic information: logs and error details that may be generated during sync attempts or when features fail (for example, when validating a server configuration).

3) How we use information

  • Provide core functionality: run outlet operations, save your records locally, and render reports.
  • Authentication and outlet access: sign-in and enforce access within the outlet context.
  • Sync and backup (if enabled): push/pull changes with configured servers to keep devices consistent.
  • Billing and entitlement: verify device linkage, subscription state, and access to connected services (when used).
  • Support and troubleshooting: investigate issues and improve stability.
  • Security: detect abuse and protect the integrity of accounts and devices.

4) How information is shared

We do not sell your personal information. We may share information in these cases:

  • With servers you connect to: if you enable cloud features, relevant data will be transmitted to the billing/sync (and where applicable payment) servers configured in the App.
  • Service providers: we may rely on infrastructure providers to operate backend systems (for example hosting and networking). They are expected to process data only to provide their services.
  • Legal and safety: when required by law or to protect rights, safety, and security.

5) Permissions and sensitive data

The App may request permissions depending on your platform and usage (for example, file access for exports/backups, or network access for sync). Bizflow is not designed to collect highly sensitive personal data such as precise location, health information, or biometric identifiers as part of normal operation.

6) Data retention

  • On-device data: operational data is retained on your device until you delete it within the App or uninstall the App (subject to your device’s OS behavior).
  • Synced data: if you enable sync, data may be retained on the configured servers according to the server operator’s retention policies and your subscription/contract terms.
  • Support logs: diagnostic data may be retained only as long as needed for troubleshooting and compliance.

7) Security

We use reasonable safeguards appropriate to the nature of the information and the services provided. No method of transmission or storage is 100% secure; you are responsible for protecting access to your device, passwords, and outlet access controls.

8) Children’s privacy

Bizflow is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children.

9) Changes to this policy

We may update this Privacy Policy from time to time. We will update the effective date above and publish the revised policy at bizflow.ke/privacy-policy.
